Exempt Position Description
Position: Director of Theater Operations
Overall Responsibilities:
Responsible for the operation and management of facility as a business enterprise. Implements long range plans including multi million dollar restoration of historic theater. Responsible for development of center’s programming, grant submissions, (state, county, local, & private) including the management of day-to-day operations. Booking all events and rentals for community patronage, and managing theaters full and part-time personnel. Responsible for direct supervision of all Box-Office operations, to include Box Office Manager, all Ticket Sales Agents, office personnel, Technical Director, maintenance personnel, House Manager, Assistant House Manager, and all ushers.
Duties:
· Oversees all major renovation projects in the theater.
· Oversees daily operation of theater.
· Coordinates fund raising efforts for the Friends of Gusman.
· Develops and implements long‑range plan, oversees financial management and reporting.
· Represents theater in community, promoting use, renovation and image.
· Represents G&O in MPA and City of Miami forums, maintaining communications on Gusman issues.
· Responsible for public relations and media releases (both in television and print fashion).
· Grant writing reporting and management.
· Responsible for Safety Program and updating Hurricane/Disaster procedures manual.
· Manages staff performance, development and disciplinary issues. Responsible for Human Resources functions in conjunction with MPA’s Human Resources Department. Approves all time sheets and time cards.
· Secures confirmed bookings, coordinating all details of events; negotiates addendum and financial deviations from standard contracts within established guidelines. Verify that insurance coverage provided by promoters is current and within guidelines.
· Maintain accurate records for statistical reports on revenues, audience attendance, payroll and promoters.
· Administers details of events. Supervises all event activities and execution by various theater personnel and concessionaires.
· Initiates legal service agreements for service vendors and theater management.
· Prepares contracts for rentals based on event and Gusman requirements.
· Review on weekly basis all upcoming show files to make sure that the required payments have been received; send letters to promoters when documentation and/or monies have not been received for an upcoming show.
· Determines all event date changes, rescheduling, and feasibility of double-date bookings.
· Prepares monthly parking validation forms for MPA staff to assign a number for each show.
· Process documentation to accounting for ledger set up, Box Office for ticketing and Backstage Technical for technical requirements and crew call.
· Negotiates all labor and artist contracts as producer of shows.
· Responsible for marketing campaign, including print media.
· Works with Ingraham Building management office in coordinating security cards, etc.
· Supervises, trains and provides development for staff including office, Box Office, backstage and front-of-house.
· Updates and maintains all theater displays for events, provides information for calendar of events, writes copy and records messages and events for concert line.
· Coordinates all deliveries/pick-ups and physical setups for theater, including securing, storing and disposing of programs and materials.
· Conducts educational theater tours for schools, tourists and historic observers. Works with MDCC students on their Service Learning Program registers and schedules them for community service by ushering at an upcoming event.
· Surveys national and local theater rates and schedules.
· Responsible that Box Office procedures and staff account functions, and marquee information are accurate and timely.
· Responsible for accurate and timely processing of show settlements and Box Office accounts reconciliation’s.
· Reviews and corrects ads and brochures for policy, accepts video promotional pieces for out-of-town clients for radio and TV distribution.
· Works with location scouts for motion pictures, TV and still photography for possible location use.
· Assists clients and caterers with receptions and post-concert parties.
· Provides personal on-site assistance and support to promoters and resident presenters at their event.
· Compose a monthly newsletter article for MPA’s newsletter.
Education:
Requires a body of knowledge of principles, procedures, and methods techniques in a specialty such as accounting, computer science, marketing, customer service and personnel. Equivalent to a four year U.S. College education leading to a Bachelors degree or four years of specialized training. Familiarity / experience with arts & entertainment industry. Proven oral & written skills in a highly diversified environment.
